cplace Gremienmanager vs Konsaro: platform or portal?

—12 min read

A web of project cards and connecting lines, with a violet meeting table at its centre

The cplace Gremienmanager (committee manager) is a solution template on the cplace project and portfolio platform. It plans, runs, documents and follows up committee meetings and links resolutions and tasks to project work. Konsaro is a standalone board portal for boards of directors, supervisory boards and executive teams. If your committees steer projects and you already use cplace, look at the Gremienmanager; if you run the meeting cycle of a board of directors, with confidential papers and board data in Zürich, look at Konsaro.

Who wrote this comparison?

Konsaro wrote this post and competes with the cplace Gremienmanager. Every statement about cplace comes from the "Gremienmanager" solution profile that cplace publishes on content.cplace.com, which we read on 28 October 2026. We did not find a separate product page for the Gremienmanager on cplace.com, and the profile does not state hosting, prices, certificates or AI features, so we leave them out rather than guess.

That limits this comparison. Where the profile is silent, the table says "not stated", and the questions further down help you ask cplace directly. If cplace publishes more, the comparison should be updated; it will carry a new date when it is.

What is the cplace Gremienmanager?

cplace is a platform for project and portfolio management on which solutions are built from templates. The Gremienmanager is one of them. According to the solution profile, it supports planning, running, documenting and following up committee meetings. Documents and decisions sit centrally on the platform, and workflows and dashboards support finding and prioritising topics, coordination and decisions.

The profile describes three features in particular:

  • A central topic collection that works like a mailbox for proposals, with collaborative prioritisation.
  • Communication of cancellations, draft agendas, resolutions, minutes and tasks through cplace, controlled by read and edit rights.
  • Documentation and history of resolutions, with export and email notification when new documents are available.

What does the Gremienmanager do well?

The strength is the link between committee and project. A resolution does not end in a PDF; it can become a task in the project plan on the same platform.

  • Committees and projects on one platform: resolutions and tasks flow back into project work.
  • Topics are collected and prioritised before the agenda is set, which keeps meetings from being filled by whoever wrote last.
  • Agendas are built from the prioritised topics.
  • A resolution archive with history and export.
  • Workflows and dashboards that can follow the organisation's own rules.
  • Email notification as soon as new documents are available.

Konsaro does not have a topic collection with collaborative prioritisation, and it does not manage projects. A board office that wants the committee's topics to come out of live project data will find that the Gremienmanager does something Konsaro does not.

How do the cplace Gremienmanager and Konsaro differ?

The difference is where the system starts. cplace starts from the project and adds the committee. A board portal starts from the meeting and the people who attend it. That choice shows in who the main user is: a project manager or PMO for cplace, a board office and the directors for Konsaro.

What changes when your members are directors and not project staff?

Directors are not daily users of a project platform, and many of them are external. They need four things from the portal and little else: the current paper, a private place to mark it up, a clear way to vote, and a minute that matches what was decided. Four consequences follow.

  • Sign-in. An external director signs in a few times a month. Two-factor authentication and, where the company uses it, single sign-on should work without a training session. Konsaro supports an authenticator app, SAML 2.0 single sign-on and SCIM provisioning.
  • Confidentiality inside the board. Personnel decisions, a takeover bid or a conflict of interest are not for every member. Konsaro limits a paper to named people or groups, and an agenda item to selected participants.
  • Private notes. Konsaro's annotations (highlighter, pen, text and notes) are visible only to the person who made them. Ask any vendor whether notes could be seen by an administrator.
  • A record of the vote. For a Verwaltungsrat the minutes carry the decision wording. Konsaro records each vote by name and links the decision to it in the decisions register.

Who gains from one platform for projects and committees?

One shared platform pays off when the committees are part of project governance: steering committees, portfolio boards, programme boards. Topics come out of the projects, and resolutions have to come back quickly as tasks. If you already use cplace, you save one more application, one more interface and one more set of user accounts.

A board portal pays off when members mainly read, comment and decide. The board of directors is the clearest case. Its papers are confidential, its members often external, and its minutes carry legal weight.

What does this look like for Muster AG?

Muster AG is an invented company with two kinds of bodies. All names and figures here are fictional.

  • A steering committee for a plant renovation meets every two weeks. Members are the project manager, the head of operations, finance and an architect. Topics come from the project: change requests, risks, supplier delays. Resolutions must become tasks the next day.
  • A board of directors of five meets six times a year, with an external chair and a board office of two. It decides on the budget release for the renovation, on a loan and on a management change.

The steering committee fits the Gremienmanager, because everything it decides lives in the project. The board of directors fits a board portal, because what it decides needs a confidential paper, a recorded vote and minutes. Muster AG could run both. The only link is a single line: when the board releases the budget, the project manager enters the decision in the project plan.

When should you choose the Gremienmanager, and when Konsaro?

Choose the cplace Gremienmanager if:

  • you already use cplace for project or portfolio management;
  • your committees mainly steer projects and programmes;
  • topics should be collected and prioritised from the projects;
  • you want to design workflows and dashboards yourself, and have someone to do it.

Choose Konsaro if:

  • you run the meeting cycle of the board of directors, supervisory board or executive team;
  • external members should sign in easily with two-factor authentication;
  • some papers should be visible only to certain people;
  • you want board data stored in Zürich;
  • you want to know prices before the first call.

Choose neither as your only system if the same people sit on both a project committee and the board. In that case the question is not which tool wins but where each decision is recorded. See the section on using both below.

Can you use cplace and Konsaro together?

Yes, and for organisations with both project committees and a board this split is a natural one. The rule that keeps it clean: every decision has exactly one home. A decision of the board of directors is recorded in the board portal, where the vote and the wording are kept. A decision of a project committee is recorded in the project platform.

Where a board decision changes a project, hand it over by reference, not by copy. Write the task in cplace and name the board decision and meeting date in it. Do not paste the board paper into a project space that has a wider audience than the board.

Three mistakes to avoid:

  • Keeping minutes in both systems "to be safe". Two versions will diverge within a quarter.
  • Putting confidential board papers into a space that project staff can open.
  • Letting the project tool decide who may see board material because the licences are already there.

How do you evaluate the Gremienmanager as a board of directors tool?

Ask for a demo with one of your real, confidential agenda items. Then work through the questions below with cplace and note the answers in writing.

ExitHow do we export resolutions, minutes and documents if we leave?

Put the same questions to Konsaro, or to any other provider. The RFP template and the overview of board portals in 2026 give a longer list.

How does Konsaro work with a board of directors?

Konsaro connects the agenda, board papers, voting and circular resolutions, minutes and open actions. Members make private annotations directly in the papers. The board office can have the minutes drafted from a Teams, Zoom or Webex transcript by the Minutes Copilot, and reviews every result before it is shared. The AI runs in the EU with zero data retention, board material is not used for training, and administrators can switch it off.

Konsaro has no project management, no topic collection with prioritisation and no data room. It is not a company-wide document system. Plans: Free for one board with up to five members; Essentials at CHF 199 a month with annual billing (CHF 240 billed monthly); Business at CHF 575 (CHF 690 monthly); team seats CHF 9 and CHF 15 per user per month; Enterprise from CHF 18,000 a year. Frequently asked questions

What is the cplace Gremienmanager?

A solution template on the cplace platform for planning, running, documenting and following up committee meetings. According to the solution profile it offers a topic collection, workflows and dashboards, and a resolution archive.

Who is behind cplace?

According to the solution profile, cplace is a registered trademark of collaboration Factory AG in Munich. Other public sources spell the company name slightly differently, so check the legal name in your contract.

Is the Gremienmanager a board portal?

The vendor describes it as a committee solution built on a project platform, not as a board portal. Whether that is enough depends on how much your members need papers per item, private notes and voting.

Where does cplace host Gremienmanager data?

The solution profile does not say. Ask the vendor in writing. Konsaro stores board data in Zürich, with application servers in the EU.

How much does the cplace Gremienmanager cost?

The solution profile lists no prices, and we did not find a price page. Konsaro publishes its prices on the pricing page.

Can I use cplace and Konsaro side by side?

Yes. Project and steering committees can work in cplace and the board of directors in Konsaro. Keep each body's decisions in one system only, and agree who copies a board resolution into the project plan.

Do external directors need a cplace licence?

The solution profile does not describe licensing for external members. Put this question to cplace before you commit, because external directors are the group most affected by it.

What does a Verwaltungsrat need that a project committee tool may lack?

Confidential papers per item, private notes, a recorded vote per member, a decision wording that can go into the minutes, and an audit trail. Check each of these in a demo; the solution profile does not describe all of them.
